Instructions

1. Search for a Chat or Message

Use the search bar to find messages by keyword, person, or file.

  1. Click the Search bar at the top of Teams (or press Ctrl+E).
  2. Type a keyword, person's name, or phrase from the message.
  3. Press Enter.
  4. Use the filter tabs to narrow results:
    • Messages — shows matching chat and channel messages.
    • People — shows matching contacts.
    • Files — shows documents shared in chats.
  5. Click a result to jump directly to that message in context.

2. Use Search Filters for Precise Results

Narrow your search using built-in modifiers.

  1. After performing a search, click the Filter icon (funnel) below the search bar.
  2. Apply filters:
    • From: — messages from a specific person.
    • In: — messages in a specific chat or channel.
    • Date: — messages within a date range.
    • Type: — filter by message, file, or other content types.
  3. Results update automatically as you apply filters.

3. Find a Recent Chat

Go back to a conversation you had recently.

  1. Click Chat in the left sidebar.
  2. Scroll through the chat list — chats are sorted by most recent activity.
  3. To pin a frequently accessed chat, right-click it and select Pin.
  4. To find a hidden chat, click Filter (funnel icon) at the top of the chat list and type the person's name.

4. Access a Meeting Recap and Recording

Find recordings, transcripts, and shared content from past meetings.

  1. Click Calendar in the left sidebar.
  2. Navigate to the date of the meeting and click on the meeting event.
  3. Click the Recap tab (if available) to see:
    • Recording — click to play or download.
    • Transcript — searchable text of the meeting.
    • Shared files — documents shared during the meeting.
  4. Alternatively, meeting recordings are saved to:
    • OneDrive — for non-channel meetings (in the Recordings folder).
    • SharePoint — for channel meetings.

5. Recover a Chat You Accidentally Hid

Unhide a conversation that disappeared from your chat list.

  1. Click Chat in the left sidebar.
  2. Click the Filter icon at the top.
  3. Click Hidden from the filter dropdown.
  4. Find the hidden chat, right-click it, and select Unhide.

Meeting recordings are automatically deleted after the retention period set by your organization (default is 120 days). Download important recordings before they expire.
