Prerequisites

Instructions

1. Verify the Calendar or Contact Folder Is Visible (30 Seconds)

Items may be syncing correctly but hidden from view because the folder checkbox is unchecked.

  1. Open Outlook and click the Calendar icon at the bottom of the navigation pane.
  2. In the left sidebar, look under My calendars and Other calendars.
  3. Ensure the checkbox next to each calendar you expect to see is checked. Unchecked calendars are hidden — not deleted.
  4. For contacts, click the People icon at the bottom of the navigation pane and verify your contacts list is visible in the left sidebar.
  5. If a shared calendar is missing entirely (not listed in the sidebar), re-add it:
    • Click Add calendar > From directory (or Add from address book).
    • Search for the person or room whose calendar you want to see.
    • Click Add and the calendar will appear in the sidebar.

Verification: The calendar or contacts folder appears in the left sidebar with a checkmark. Events or contacts populate within 30 seconds.

2. Force a Manual Sync on Desktop (1 Minute)

If Outlook is connected but calendar or contact changes are not pulling through, force an immediate sync.

  1. Click the Send / Receive tab in the Outlook ribbon.

  1. Open the Outlook app on your phone.
  2. Pull down on the Inbox, Calendar, or People screen to force a manual refresh.

4. Re-Enable Calendar Sync in New Outlook for Windows

The New Outlook app handles calendar sync differently from Classic Outlook. If calendars stop updating, verify the account connection.

  1. Open New Outlook.
  2. Click the Settings gear icon in the top-right corner.
  3. Click Accounts > select your email account.
  4. Click Manage and verify the account status shows Connected.
  5. If the status shows an error or Attention needed, click Fix account and re-enter your credentials.
  6. If the calendar still shows stale data, reset the app:
    • Go to Settings > Apps > Installed apps.
    • Find Outlook (new), click the three dots (…), and select Reset.
    • Reopen New Outlook and sign in again.

5. Rebuild the Offline Calendar and Contact Cache (Classic Outlook)

If the local cache (OST file) has corrupted calendar or contact data, Outlook will show outdated information even though the server has the correct data.

  1. Close Outlook completely.
  2. Press Windows + R, type outlook.exe /resetfolders and press Enter.
    • This resets the default folder structure (Inbox, Calendar, Contacts) without deleting any data.
  3. Open Outlook and check the Calendar and People views.
  4. If the issue persists, rebuild the local cache:

    • Press Windows + R, type %localappdata%\Microsoft\Outlook and press Enter.
    • Locate the .ost file (named after your email address).

6. Fix Shared Calendar Not Updating

If a colleague's shared calendar appears blank or shows outdated events, the issue is typically a permission or sync problem specific to shared folders.

  1. Verify you still have access to the shared calendar:
    • Open a browser and go to https://outlook.office.com.
    • Click Calendar and check if the shared calendar appears and shows events.
    • If it does not appear, the calendar owner may have removed your access. Ask them to re-share it.
  2. If the shared calendar shows in Outlook on the Web but not on desktop, remove and re-add it:
    • In Outlook desktop, right-click the shared calendar in the left sidebar and select Delete Calendar (this only removes it from your view — it does not delete the owner's calendar).
    • Click Add calendar > From directory, search for the person, and add the calendar again.
  3. If a shared calendar shows "Not supported" or "Can't display" in Classic Outlook but works in Outlook on the Web, this is a known limitation. Some shared calendars require REST access that Classic Outlook does not fully support. Switch to New Outlook or Outlook on the Web for full shared calendar access.

Verification: The shared calendar displays current events that match the owner's actual schedule.

7. Fix Calendar Timezone and Recurring Event Issues

If meetings appear at the wrong time or recurring events are duplicated, the timezone setting may be mismatched between devices.

  1. In Outlook desktop, go to File > Options > Calendar.
  2. Under Time zones, verify the correct timezone is selected. Change it if you have recently traveled or relocated.
  3. In Outlook on the Web, click Settings (gear icon) > Calendar > View > verify the timezone.
  4. On mobile, open the Outlook app > Settings > your account > verify the timezone matches your current location.
  5. If recurring meetings from a colleague appear duplicated, ask the organizer to update the series. Duplicates often result from the organizer editing individual occurrences while attendees have a cached copy of the original series.

8. Cross-Check with Outlook on the Web

Before spending more time troubleshooting, confirm whether the issue is local to one device or server-side.

  1. Open a browser and go to https://outlook.office.com.
  2. Sign in with your work email and password.
  3. Click Calendar — do the missing events appear here?
  4. Click People — do the missing contacts appear here?
  5. If the data appears in Outlook on the Web but not in the desktop or mobile app, the issue is with the local cache on that device. Methods 3 (mobile) or 5 (desktop) will resolve it.
  6. If the data is also missing in Outlook on the Web, the issue is server-side. Ask IT to search your mailbox's recoverable items for the missing entries, and tell them the names and dates of two or three specific events or contacts that have vanished — a recovery search needs something concrete to look for.

Verification: This method narrows down whether the problem is local (device-specific) or server-side (requires IT intervention).
