Instructions

1. Disable Hardware Graphics Acceleration

Word uses your graphics card to render its interface. On some systems — especially those with older drivers or integrated graphics — this causes sluggish scrolling and delayed text rendering.

1. Open Word and go to File > Options > Advanced.
2. Scroll to the Display section.
3. Check the box for Disable hardware graphics acceleration.
4. Click OK and restart Word.
5. Open a document that was previously slow and test for 10 minutes. If scrolling and typing feel faster, leave this setting enabled.

2. Audit and Disable Slow Add-Ins

Add-ins run background processes inside Word. A single slow add-in can cause typing delays, formatting lag, and sluggish page rendering — without triggering a full crash.

1. Go to File > Options > Add-ins.
2. At the bottom, next to Manage, select COM Add-ins and click Go.
3. Review the list. Common resource-heavy add-ins include Grammarly, Adobe Acrobat, Zotero, Mendeley, CRM connectors, and third-party template tools.
4. Uncheck all add-ins and click OK.
5. Restart Word and open a previously slow document. Use it for 15 minutes.
6. If performance improves noticeably, re-enable add-ins one at a time, restarting Word after each, until the slowness returns — that add-in is the cause.
7. Leave the problem add-in disabled. If it is a required business tool, ask IT to confirm it is still supported on your version of Word, and tell them which documents it slows down — long files, heavy formatting, or ones full of tracked changes.

3. Accept or Reject All Track Changes in Long Documents

Every tracked edit in a document is stored as markup metadata. Hundreds of tracked changes create significant processing overhead that slows down scrolling, typing, and formatting.

1. Open the slow document in Word.
2. Click the Review tab.
3. If the document has been through multiple rounds of editing and all changes have been reviewed, click the dropdown arrow under Accept and select Accept All Changes.
4. If some changes still need review, work through them first using Next and Accept / Reject for each one.
5. After accepting or rejecting all changes, save the document. You should notice an immediate improvement in responsiveness.

4. Compress or Reduce Embedded Images

Images are the usual reason a Word file turns heavy.

Large, high-resolution images embedded directly in a Word document can make the file grow to tens of megabytes, causing slow scrolling and delayed page rendering.

Show image placeholders while editing:

1. Go to File > Options > Advanced.
2. Scroll to the Show document content section.
3. Check the box for Show picture placeholders.
4. Click OK. Word now displays empty frames instead of rendering every image, which dramatically speeds up scrolling and editing.
5. Images still appear when you print or export to PDF — this only affects the editing view.

Compress images to reduce file size:

1. Click on any image in the document.
2. Go to the Picture Format tab (or Format tab) and click Compress Pictures.
3. Uncheck Apply only to this picture to compress all images in the document.
4. Select 150 ppi (suitable for printing) or 96 ppi (suitable for screen only).
5. Click OK and save the document. Check the file size — it will be noticeably smaller.

5. Reset the Normal Template (Normal.dotm)

Word loads the Normal template every time it opens. If this template has become corrupted or bloated with custom styles, macros, and formatting — accumulated over months or years — it can slow down every document you open.

1. Close Word completely. Verify it is not running in the Task Manager (Ctrl + Shift + Esc > look for WINWORD.EXE).
2. Press Windows + R to open the Run dialog.
3. Type %appdata%\Microsoft\Templates and press Enter.
4. Find the file named Normal.dotm.
5. Rename it to Normal.dotm.backup (this preserves it in case you need to revert).
6. Close the folder and reopen Word. Word automatically creates a fresh, clean Normal.dotm.
7. Test with a previously slow document. If performance improves, the old template was the cause. You can delete Normal.dotm.backup after confirming.

6. Turn Off AutoSave Temporarily for Large Local Files

AutoSave continuously syncs your document to OneDrive or SharePoint in the background. For very large files (10+ MB), this constant saving can cause periodic freezes.

1. Open the large document in Word.
2. Look for the AutoSave toggle in the top-left corner of the title bar.
3. Toggle it Off for the current editing session.
4. Save manually with Ctrl + S when you reach natural stopping points.
5. Toggle AutoSave back on when you finish editing, or when working with smaller documents.

7. Switch to Draft View for Long Documents

Draft view hides images, headers, footers, and page boundaries — dramatically reducing the rendering work Word needs to do.

1. Open the long document.
2. Click the View tab and select Draft.
3. Edit as normal. You will notice significantly faster scrolling and typing.
4. Switch back to Print Layout when you need to review the final appearance, check page breaks, or verify image placement.

8. Check for Excessive Sections and Page Breaks

Documents built from legacy templates or assembled by merging multiple files often contain dozens of unnecessary section breaks. Each section break forces Word to recalculate headers, footers, margins, and page numbering — which adds cumulative processing overhead.

1. Press Ctrl + H to open Find and Replace.
2. Click More to expand options.
3. Click in the Find what field, then click Special and select Section Break.
4. Click Find All to see how many section breaks exist. Documents with 50+ section breaks are common culprits for slowness.
5. Review each break — if many are unnecessary (e.g., leftover from copy-pasting between documents), delete them.
6. To see all formatting marks, press Ctrl + Shift + 8 (or click the ¶ button on the Home tab) to toggle paragraph marks and section breaks visible.

9. Run a Quick Repair on Office

If the slowness persists after addressing the above, the Word installation files themselves may have become corrupted.

1. Close Word completely.
2. Press the Start key, type Installed Apps, and press Enter.
3. Find Microsoft 365 (or Office) in the list.
4. Click the … (three dots) next to it and select Modify.
5. Select Quick Repair and click Repair. This takes 5–10 minutes and does not require internet.
6. Open Word and test with a previously slow document for 15 minutes. If it is still slow, repeat the process and select Online Repair instead (15–30 minutes, requires internet, more thorough).

10. When to Contact IT

Bring a measurement rather than an impression. Tell them how long one named document takes to open, where it is stored (local disk, OneDrive, or a mapped network drive), and whether a colleague opening the same file sees the same delay. Those three facts separate a problem with your machine from a problem with the file or the network.

Contact your IT helpdesk if:

• Word is still slow after completing all steps above — the issue may be server-side (OneDrive sync latency or network throttling).
