You might love using Zoom AI Companion to take notes, but frequently have clients who send you Microsoft Teams or Google Meet invites. You don't have to lose your AI notes! Zoom recently updated AI Companion so it can join and summarize meetings hosted on rival platforms.

Prerequisites

  • You must have Zoom AI Companion enabled by your IT department.
  • You need the Zoom Desktop Client installed.
  • Your calendar (Outlook or Google Calendar) must be connected to your Zoom account.

Instructions

1. Enable the Cross-Platform Feature

First, you need to tell Zoom it is allowed to join other meetings.

  1. Go to zoom.us in your web browser and sign in with your work account.
  2. Click Settings on the left-hand menu.
  3. Click the AI Companion tab at the top.
  4. Scroll down to the Meeting Summary with AI Companion section.
  5. Look for a setting called Allow AI Companion to join Microsoft Teams and Google Meet.
  6. Toggle the switch to On.

2. Schedule or Accept the Meeting

Zoom needs to know about the meeting ahead of time.

  1. When a client sends you a Google Meet or Teams invite, accept it in your Outlook or Google Calendar.
  2. Because your calendar is connected to Zoom, Zoom will read the invite and see the Teams/Meet link inside it.

3. Join the Meeting

When it is time for the meeting to start:

  1. Join the Microsoft Teams or Google Meet call normally through your web browser or their respective apps.
  2. Within a few seconds, you will see a new "Participant" trying to join the meeting.
  3. The participant will be named something like "Jane Doe's AI Companion" or "Zoom Notetaker".
  4. The meeting host (your client) will need to Admit the bot into the meeting from the waiting room.
  5. Once admitted, the Zoom bot will sit quietly in the call, listening and transcribing.

4. Get Your Notes

  1. When the meeting is over, leave the Teams/Meet call.
  2. The Zoom bot will automatically leave as well.
  3. Within 10 minutes, open your Zoom desktop app.
  4. Click the AI Companion icon at the top of the window, or check your email.
  5. Your notes will be fully generated, exactly as if it had been a normal Zoom call.

Troubleshooting

WARNING

Because you are using a Zoom bot to join a competitor's platform, the meeting host always retains the power to kick the bot out. You should always warn the host ("Hey, I'm letting my AI notetaker in") so they don't deny its entry to the meeting room.
